Data we receive and its source
The contact form does not submit data to the website server. Submitting it opens the email application on your device and prepares a message to hello@optfor.ai. We receive the entered data only if you send that message: your name, email address, optional company name, message content and email metadata.
We may also receive data you provide directly in later correspondence or a conversation. Hosting and CDN providers may process technical data associated with a page request; this is described under “Technical logs”.
Purposes and legal bases
We process data connected with this website where needed to:
- respond to an enquiry and take steps at your request before entering into a contract — Art. 6(1)(b) GDPR; if you contact us for an organisation, the basis is our legitimate interest in conducting business correspondence — Art. 6(1)(f) GDPR;
- manage correspondence and a business relationship — Art. 6(1)(f) GDPR;
- keep the website secure, available and working correctly and diagnose errors — Art. 6(1)(f) GDPR;
- comply with legal obligations — Art. 6(1)(c) GDPR;
- establish, exercise or defend legal claims — Art. 6(1)(f) GDPR.
Recipients of data
Access is limited to parties that need the data to operate the website or correspondence, or that are authorised by law.
- email and telecommunications providers;
- hosting, CDN, maintenance and IT support providers;
- legal advisers, accountants or auditors where needed for a specific matter;
- public authorities where disclosure is required by law.
Transfers outside the EEA
Some infrastructure, email or embedded YouTube providers may process data outside the European Economic Area. If the Controller transfers data to a country for which the European Commission has not issued an adequacy decision, it uses safeguards required by Chapter V GDPR, such as standard contractual clauses, where applicable.
You can request information about a specific recipient, country and safeguard at hello@optfor.ai. A transfer to Google/YouTube begins only after you choose to load the video or follow a link to the external service.
Retention period
We retain correspondence about an enquiry for as long as needed to handle it. If it leads to a business relationship, data may be retained for the duration of that relationship, any period required by law and the applicable limitation period for claims.
Data needed only for security, diagnostics or technical operations is retained according to the configuration and retention rules of the relevant system, no longer than the purpose requires. It is then deleted or anonymised unless the law requires further retention.
Your rights
Within the scope provided by the GDPR, you have the rights to access, rectify and erase data, restrict processing, data portability and object to processing. Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing.
You can submit a request to hello@optfor.ai. If you believe that processing infringes the GDPR, you have the right to lodge a complaint with the President of the Polish Personal Data Protection Office or another competent supervisory authority.
Providing data in correspondence is voluntary, but without the data needed to reply we may be unable to handle your enquiry. Using the website or its contact form does not involve automated decision-making that produces legal or similarly significant effects for you.
YouTube recording
The webinar page does not fetch the video from YouTube merely because you open the page. It first shows an explanation and a button. A connection to the player at youtube-nocookie.com starts only when you choose “Load video from YouTube”; alternatively, you can follow a link to the external service yourself.
YouTube then receives data needed to serve the request, including your IP address, referrer and browser or device information, and may store or access its own information on your device. Privacy-enhanced mode limits how an embedded view is used for personalisation on YouTube, but it does not prevent technical data from being sent to Google. Google’s documents provide further details.
Technical logs
Displaying a page requires a request through hosting and CDN infrastructure. Their providers may process and record technical data in logs, such as the IP address, request date and time, requested path, response status and information sent by the browser.
This data is used to deliver the website, prevent abuse, maintain security and availability and diagnose errors. The website code does not use it for advertising, profiling or behavioural analytics.
